1. INTRODUCTION

Hirevoo Pvt. Ltd. ("Hirevoo", "we", "us", or "our") is a company incorporated under the laws of India, operating the Hirevoo Career Acceleration Platform ("Platform") accessible at www.hirevoo.in and through associated mobile applications and APIs.
Hirevoo is a technology platform that provides job discovery, resume analysis, AI-based match scoring, referral facilitation, career consultation, upskill recommendations, and employer hiring tools. We are the Data Fiduciary (as defined under the Digital Personal Data Protection Act, 2023) with respect to personal data processed through our Platform.
1.2 Scope of This Policy
This Privacy Policy applies to:
All registered Users of the Platform, including Candidates, Employees (Referrers), and Employers.
Visitors who browse the Platform without registering.
Partners, affiliates, and service providers who interact with the Platform.
This Policy governs all personal data collected, used, stored, shared, and processed by Hirevoo in connection with the Platform and its Services.
1.3 Legal Framework
Hirevoo's data practices are designed to comply with:
The Digital Personal Data Protection Act, 2023 (India) ("DPDP Act") and rules thereunder.
The Information Technology Act, 2000 and the IT (Amendment) Act, 2008 (India).
The Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 ("SPDI Rules").
Applicable international data protection principles, including those derived from the General Data Protection Regulation (EU) ("GDPR"), to the extent they may apply to our operations.
2. PERSONAL DATA WE COLLECT
We collect the following categories of personal data:
Category - Data Points
Personal Information - Full name, email address, mobile number, residential city/state, profile photograph (optional).
Professional Data - Resume and CV documents, current and previous job titles, employers, employment history, educational qualifications, degrees, certifications, skills, salary expectations, notice period, and career preferences.
Usage and Behavioural Data - Pages visited, job listings viewed, referral requests submitted, buttons clicked, features used, time spent on sections, search queries, scroll behaviour, and in-app navigation patterns.
Communication Data - Records of calls made to/from Hirevoo's sales and support teams, chat messages on the Platform, email correspondence with Hirevoo, and WhatsApp/SMS interactions with Hirevoo's authorised representatives.
Device and Technical Data - IP address, browser type and version, operating system, device type and model, screen resolution, referring URLs, session identifiers, and access timestamps.
Payment Data - Transaction amounts, payment dates, payment method type (e.g., card, UPI, net banking), and transaction reference numbers. We do not directly store full card numbers, CVV codes, or bank account credentials. Payments are processed through PCI-DSS compliant third-party processors.
Profile Interaction Data - Referral request history, employer interactions, match score history, applications tracked, consultation session records, and course/upskill recommendations received.
Inferred and Derived Data - AI-generated match scores, skill gap analyses, career readiness assessments, and other probabilistic indicators derived from your profile and behaviour on the Platform.
SENSITIVE PERSONAL DATA
To the extent that any information you voluntarily provide constitutes Sensitive Personal Data or Information (SPDI) as defined under the SPDI Rules (e.g., financial information, health data), Hirevoo will seek your explicit consent before processing such data.
3. HOW WE COLLECT YOUR DATA
3.1 Direct Collection
We collect personal data directly from you when you:
Register an Account on the Platform.
Upload a resume, CV, or professional documents.
Complete your profile with work experience, education, and skills.
Submit referral requests or interact with Employees or Employers.
Book or attend a career consultation session.
Subscribe to a paid plan and make payments.
Contact our sales, support, or customer success teams.
Respond to surveys, feedback forms, or promotional communications.
3.2 Automated and Technical Collection
We collect data automatically as you use the Platform through:
Cookies, web beacons, pixel tags, and similar tracking technologies.
Server logs and access records.
Analytics tools including but not limited to Google Analytics, Mixpanel, or similar services.
Heatmaps and session recording tools for product improvement.
3.3 Third-Party Sources
We may receive data about you from:
LinkedIn and other professional networks, if you connect your account or use social login.
Partner platforms and educational providers, if you engage with their services through Hirevoo.
Employers and Employees who interact with your profile on the Platform.
Publicly available professional databases and job boards.
4. HOW WE USE YOUR PERSONAL DATA
4.1 Core Platform Services
We use your personal data to:
Create and manage your Account and profile.
Provide job discovery, matching, and application tracking services.
Facilitate referral requests between Candidates and Employees.
Deliver resume analysis, AI match scoring, and career recommendations.
Conduct career consultation sessions.
Recommend relevant upskill courses, certifications, and degree programmes.
Process Subscription payments and manage billing.
4.2 Sales, Marketing, and Outreach
IMPORTANT - DATA USED FOR OUTREACH
We use your contact information and platform behaviour to:
- Contact you by telephone, WhatsApp, SMS, and email regarding our Services, Subscription plans, and special offers.
- Conduct sales conversations with you about upgrading your plan or accessing new features.
- Send you career tips, platform updates, job alerts, and promotional communications.
- Re-engage you if you have been inactive on the Platform.
By registering on the Platform, you expressly consent to this outreach. You may opt out at any time as described in Section 9.
4.3 Lead Generation and Conversion Tracking
We use your data for internal business operations including:
Lead scoring, sales prioritisation, conversion tracking, and funnel analytics.
4.4 Platform Improvement and Research
Analysing aggregate usage patterns to improve Platform features and performance.

Hirevoo may provide different Users with personalised offers, pricing structures, or feature access based on behaviour and profile context.

Hirevoo may use anonymised or pseudonymised User data to train, test, validate, and improve internal algorithms and AI capabilities.
4.9 Referral Interaction Data Usage
Data related to referral requests, Employee interactions, and referral outcomes may be analysed in aggregated or anonymised form for internal analytics.
4.10 Business Intelligence and Analytics
Hirevoo may use aggregated and anonymised data for business insights, market trends, hiring analytics, and product performance reports.
5. AI AND AUTOMATED PROCESSING
5.1 How We Use AI
Hirevoo uses artificial intelligence, machine learning models, and algorithmic processing for resume analysis, match scoring, skill gap identification, recommendations, and anomaly detection.

- NOT guarantees of employment, interviews, referrals, or any other outcome.
- Subject to inherent limitations, model biases, and inaccuracies.
- NOT a substitute for professional career, legal, or financial advice.
5.2 Third-Party AI Services
Hirevoo may use third-party AI APIs (such as OpenAI or similar providers) to power certain analytical features.
5.3 No Solely Automated Decisions with Legal Effect
Hirevoo does not make decisions with legal or similarly significant effects based solely on automated processing without human involvement, except where permitted by law.
6. HOW WE SHARE YOUR DATA
WE DO NOT SELL YOUR PERSONAL DATA.
Hirevoo does not sell your personal data to third parties for independent marketing.
6.1 With Employers
Where you apply for a job or opt into employer visibility, we may share relevant profile, resume, and application data.
6.2 With Employees (Referrers)
When you submit a referral request, we share limited data required to facilitate the referral.
6.3 With Partners
With your consent, Hirevoo may share profile and contact details with educational partners, hiring partners, and career service providers.
6.4 With Service Providers (Processors)
We share data with service providers under contractual obligations, including cloud, payment, analytics, CRM, communication, and AI providers.
6.5 Legal Disclosures
We may disclose data to authorities when required by law.
6.6 Business Transfers
In case of merger, acquisition, restructuring, or sale, data may be transferred to a successor entity.
7. CONSENT FOR COMMUNICATIONS AND OUTREACH
7.1 Explicit Consent
By registering and providing contact details, you expressly consent to communications via calls, WhatsApp, SMS, email, and push notifications.
7.2 TRAI / DND Registry Override
By providing your number, you expressly consent to commercial and transactional communications from Hirevoo.
7.3 Withdrawing Consent
You may unsubscribe through email links, reply STOP to messages, or contact privacy@hirevoo.in.
8. DATA RETENTION
8.1 Retention Periods
Active Account Data: retained while your account exists.
Post-Deletion Data: anonymised/pseudonymised data may be retained up to 36 months.
Financial/Transaction Data: retained minimum 7 years where required.
Communication Records: retained up to 24 months.
Legal Hold Data: retained until matter resolution.
8.2 Data Deletion Requests
Contact privacy@hirevoo.in. Verified deletion requests are processed within 30 days, subject to legal obligations.
9. YOUR DATA RIGHTS
You may request access, correction, erasure, withdrawal of consent, grievance redressal, and nomination rights under applicable law.

10. COOKIES AND TRACKING TECHNOLOGIES
We use essential, analytics, functional, marketing, and third-party cookies.

11. DATA SECURITY
Hirevoo uses reasonable security measures including TLS/SSL, encryption at rest, access controls, testing, secure development, and two-factor authentication for privileged access.
No method is 100% secure.
12. INTERNATIONAL DATA TRANSFERS
Data may be processed outside India with appropriate safeguards in place.
13. THIRD-PARTY WEBSITES AND SERVICES
This Policy does not apply to third-party websites/services linked from the Platform.
14. CHILDREN'S PRIVACY
The Platform is intended for users 18+ only.
15. SPECIAL DISCLOSURES
Includes disclosures on sales and lead usage, partner lead sharing, AI processing consent, no-data-sale clarification, third-party responsibility limits, and communication frequency.
16. UPDATES TO THIS POLICY
Hirevoo may update this Policy from time to time. Material changes will be notified in advance.
